Position Summary
The Global Project Coordinator is the operational backbone of Mite's project work, the person who takes a vetted idea and turns it into a funded, executed, documented, and celebrated project. From first contact with a partner organization to the final Celebration Video shared with donors, this role owns the lifecycle of projects Mite undertakes.
The Global Project Coordinator will likely travel internationally to visit project sites, working directly with partner nonprofits on the ground, coordinating with videographers to capture infield media, and ensuring that every project delivers measurable impact that Mite can show its donors. It requires someone who thrives in unfamiliar environments, solves problems creatively, and brings both logistical precision and relational warmth to every partnership.
Key Responsibilities
Research & Vetting
- Identify and research potential partner organizations aligned with Mite's mission and project standards
- Gather relevant data on partners and proposed projects and present findings to the Executive team for approval
- Initiate contact with potential partners and lead the vetting process, assessingorganizational health, project viability, budget integrity, and impact potential
- Maintain a pipeline of vetted, ready-to-fund projects so Mite can move quickly when funding becomes available
Project Planning & Execution
- Develop and execute Memorandums of Understanding (MOUs) with approved partners
- Oversee project initiation, ensuring adherence to budgets, timelines, and impact validation
- Maintain regular communication with partner organizations throughout the project lifecycle
- Track project milestones and flag risks or delays early
- Coordinate across departments to ensure donor communications, program updates, and celebration content align with project timelines
Infield Visits & Documentation
- Plan and coordinate logistics for infield visits including travel, accommodation, on-site schedules, partner coordination, and safety planning
- Select and manage videographers for media capture during infield visits
- When necessary, serve as Mite's representative on the ground, building trust with partners, observing impact firsthand, and ensuring media accurately reflects the project story
- Coordinate with the communications team to ensure infield media is turned into donor-facing content (Celebration Videos, project updates, social media, magazine features)
Updates & Celebration
- Compile materials for project updates and donor reports including impact data, partner narratives, and media assets
- Work closely with videographers and the communications team to produce celebration videos that bring donors into the story
- Manage the follow-up process with partner organizations after project completionincluding final reporting, impact assessment, and relationship maintenance
- Contribute to Mite's institutional knowledge by documenting lessons learned, partner evaluations, and project outcomes for future reference
What Success Looks Like (First 6-12 Months)
- Multiple projects are moving through the pipeline simultaneously without things falling through the cracks, vetted, funded, executed, and documented on time
- Partner organizations feel well-supported and clearly understand Mite's process and expectations
- Infield visits are planned thoroughly and executed smoothly, producing high-quality media that donors connect with
- The Program / Communications Director's time is freed for higher-level strategy, communications, and partner development
- A clear, repeatable project management system is in place that the team can see and follow, not locked in one person's head
- Donor-facing content (updates, videos, reports) is delivered on schedule and reflects Mite's commitment to transparency and storytelling
Qualifications
- Passionate commitment to Mite's mission and vision, someone who genuinely cares about the work, not just the job
- Exceptional organizational skills with the ability to manage multiple complex projects across different timelines and time zones
- Strong communicator, both written and verbal, who can represent Mite with professionalism and warmth to international partners
- Creative problem-solver who stays calm and resourceful in unfamiliar or fast-changing environments
- Willing and able to travel domestically and internationally, including to remote or developing regions
- Comfortable working independently with minimal supervision while keeping the team informed
- Proficiency with project management tools, spreadsheets, and communication platforms
- Experience in project coordination, international development, operations, event planning, or a related field preferred
- Bachelor's degree preferred; relevant volunteer or missions experience valued

Position Summary
The Donor Care & Events Coordinator is a foundational role in Mite's donor care and development department. This person will work alongside the Donor Care & Development team to ensure our donors feel known, thanked, and connected to the impact of their generosity — while also supporting Mite's growing calendar of donor-facing events.
This role is especially important in 2026 as Mite celebrates its 10-Year Anniversary Gala on November 14th. The Donor Care & Events Coordinator will be trained and integrated into the donor care function beginning in summer 2026, supporting gala preparation alongside the team, and growing into a central role in donor stewardship and event coordination heading into 2027.
This is not a temporary position. As Mite expands its event strategy in 2027 — including intimate donor dinners, regional gatherings, and special occasion events; this role will grow in scope and responsibility. We are looking for someone who wants to build with us long-term.
Key Responsibilities
Donor Care & Stewardship
- Support the donor care program: timely thank-yous, gift acknowledgments, donor touch points (birthday/anniversary notes, welcome flow for first-time donors, monthly encouragement)
- Assist with donor meeting scheduling, logistics, preparation briefs, and follow-up tasks
- Help maintain clean CRM records: donor notes, contact info, communication history, tasks, tagging, and segmentation
- Coordinate with the team to ensure gifts are logged correctly and receipts are sent promptly
- Support the CGP (Corporate Giving Program) and FGP (Family Giving Program) communications as needed — surveys, timelines, reminders, selection follow-up, and donor updates
Event Coordination & Support
- Assist with 10-Year Anniversary Gala logistics alongside the gala coordinator, Donor Care & Development Lead, and Donor Care Associate — including sponsor tracking, RSVP management, vendor coordination, invitation support, and day-of needs
- Support donor events throughout the year: invitations, reminders, check-in lists, follow-up notes, and logistics coordination
- In 2027, take an increasing lead on Mite's expanded event calendar — Mother's Day events, status quo dinners, regional donor gatherings, and other donor-facing experiences
- Help coordinate event materials, collateral, and donor-specific communications for each event
Growth & Development
- Learn Mite's donor care philosophy, communication voice, and stewardship approach through direct training with the Donor Care & Development Lead and Executive Team
- Build relationships with Mite's donor community over time — growing into a role that includes donor meeting attendance and eventually donor visits (local and travel as schedule allows)
- Contribute to the continuous improvement of donor care systems, processes, and touch points
- As the role evolves, take on increasing ownership of donor stewardship, event planning, and program coordination
What Success Looks Like (First 6 Months)
- Donors are thanked quickly, consistently, and warmly. No one falls through the cracks.
- CRM stays organized so that anyone on the team can see donor history and next steps at a glance.
- Gala preparation feels manageable because logistics and tracking are handled proactively alongside the team.
- The Donor Care & Development Lead's time is freed for higher-level donor leadership and strategic development work.
- By the time leadership transitions occur, this person is confidently embedded in the donor care function and prepared to help carry the department through the transition.
Qualifications
- Passionate commitment to Mite's mission and vision
- Warm communicator with excellent writing and professionalism — someone who naturally makes people feel cared for
- Detail-oriented and dependable with strong follow-through
- Comfortable learning CRMs, spreadsheets, and task management tools
- Enjoys supporting events and managing logistics
- Ability to grasp tasks and processes quickly in a fast-moving small team environment
- Willing to travel as schedule allows; some local and occasional overnight travel as the role grows
- Experience in donor relations, events, hospitality, customer success, admin, or nonprofit support preferred but not required
- Project management skills
